VOCPhone for Professional services

Four people, one shared number, and clients who expect an organisation.

Professional services firms are judged against companies ten times their size. Your work matches them. Your phone, answered by whoever happens to be free, does not.

Said out loud in every small firm

You have said at least four of these this month

These are the problem of being small, excellent and expected to look established.

01

Everyone is chargeable, so the phone loses

There is no receptionist because a receptionist is not billable. So the phone is answered when it is convenient, which is rarely.

The agent is your front office, at a fraction of the cost of a person.
02

You sound smaller than the work you do

A mobile answered in a car park does not match a proposal for a six figure engagement.

A professional greeting, proper routing, and a firm that sounds organised.
03

Interruptions destroy deep work

Every call answered by a fee earner costs more than the call, because concentration does not resume instantly.

Routine calls never reach a fee earner at all.
04

Nobody covers for anybody

One person on leave and an entire client relationship becomes unreachable.

Ring groups and overflow, so somebody is always available.
05

Growth makes service worse

The more work you win the less reachable you become, which threatens the clients you already have.

Capacity that grows without adding headcount.
06

Client commitments live in people's heads

What was promised on a call exists only in the memory of whoever answered it.

Recording, transcript and summary against the client, automatically.
Watch one get saved

5:55pm. Everyone is in a deadline. The engagement is not lost.

This is the call that used to reach a mobile voicemail. Here it is answered by a VOCPhone AI phone agent, from what you told it about your firm.

It sounds like it is from here. Genuine Australian accents, not a call centre and not a robot reading a script.
It makes you sound established. A proper greeting, real routing options, and a firm that clearly knows what it does.
It qualifies and books. Scope, timing and decision process, then a meeting in the right person's diary.
It protects deep work. Routine calls never interrupt somebody mid deliverable.

AgentGood evening, thanks for calling Vance Advisory. The team has finished for the day, but I can help. What is it regarding?
CallerWe are looking for help with a fairly significant compliance project. Are you the right size for that?
AgentWe take on projects of that kind regularly. To point you at the right person, is this a one off project or ongoing support?
CallerOne off, but a big one. Probably six months of work.
AgentThat would sit with one of our directors. Roughly when would you want to start, and is there a formal procurement process?
CallerStart in the new year, and yes, we will need a proposal.
AgentUnderstood. I have booked a scoping call with Daniel on Thursday at 11am and texted you the invite along with our capability summary.

The number nobody tracks

Clients decide how big you are by how your phone is answered

You cannot control how large you look on a website. You absolutely control how organised you sound when a prospective client rings, and most small firms sound exactly as small as they are.

1Perception of scale drives what work you win. A prospect with a significant engagement is assessing whether you can carry it. A ringing phone answers badly.
2Everybody is chargeable, so nobody is reception. The person who answers is whoever is least busy, which is the wrong person and an interruption either way.
3Existing clients get less service as you grow. The busier you are, the harder you are to reach, which is exactly backwards.

Demand peaks

Your quietest answering weeks are your busiest working weeks

Professional services volume clusters around financial year end and client planning cycles. Enquiries arrive exactly when your small team is least able to answer anything.

An AI agent gives a four person firm the front office of a forty person firm. Every enquiry answered, qualified and booked, without adding a salary.

Your phone should know which client is calling

VOCPhone connects to more than a thousand apps and offers open APIs, so a call arrives with a client attached to it rather than just a number.

Straight answers

The questions small firms ask us first

We are only four people. Is this sized for us?

It is. Plans start at a single user and scale up, and the AI agent does not need a seat per person. For a small firm it is the cheapest front office you will ever have.

Small firms benefit most because they have the largest gap between the quality of their work and the way their phone is answered.

Will it make us sound like a call centre?

Only if you script it that way, and we would advise against it. The greeting, tone and routing options are yours. Most small firms go for warm, direct and short, which reads as competent rather than corporate.

What it removes is the thing that genuinely damages you: a mobile answered badly, or not at all.

What happens when the AI cannot help?

It hands over, and you decide where. Anything about the substance of an engagement, plus fees and complaints can go to a person, a queue, or a manager's mobile.

The caller does not repeat themselves either. Whoever picks up gets the context the agent already gathered. Outside hours it takes the details, texts a confirmation and queues the callback.

What difference does owning the network actually make?

Most providers resell somebody else's switch, which means when something breaks they raise a ticket with a wholesaler and wait, exactly like you would. VOCPhone built and runs its own Australian network, so we fix it ourselves.

It is also why we can put a number on uptime and offer a price match. There is no reseller margin stacked in the middle of your bill.

How does the price-match guarantee work?

If you find comparable Australian business voice for less, we will match it. The terms are on our price guarantee page and we would rather you read them than take a slogan on trust.

We can do it because we are not paying a wholesaler for the underlying network.

We run more than one office. Does that work?

That is where it earns its keep. Advertise one number and we route behind it by office, by time of day and by queue, with overflow so a call at a flat out office rings somewhere quieter.

Each office can keep its own greeting and direct number. Reporting rolls up across all of them.

Do we have to change our phone number?

No. Number portability is standard, including 1300 and 1800, so the number on your letterhead, your proposals and your directory listings stays exactly as it is.

We port it across and plan the cutover around your hours, not ours.
