VOCPhone for Non-profits

You cannot hire a receptionist. You also cannot afford to miss a donor.

A not for profit runs on tight administration ratios and a phone that carries everything: donors, clients, volunteers, funders and people who need help. All of it, on almost no staff.

Said out loud in every small charity

You have said at least four of these this month

These are mission and funding problems that arrive down a phone line.

01

You cannot justify a receptionist

Every administrative dollar is scrutinised by funders, so the phone is nobody's job by design.

Phone coverage that costs a fraction of a salary.
02

Donors and clients need opposite things

One is trying to give you money and one is trying to get help. They queue behind each other.

Separate queues, so neither blocks the other.
03

Appeals create call spikes you cannot staff

A campaign or a media mention produces a flood of calls in a day, against a team of four.

Unlimited simultaneous answering, so an appeal never overwhelms you.
04

Volunteers cannot carry the phone

Inconsistent, unreliable and unfair to people giving their time freely.

Nobody has to volunteer to be reception.
05

Vulnerable callers need care, not a queue

Somebody in difficulty should never be asked to hold or to ring back.

Answered immediately, with escalation to a person for anything sensitive.
06

Reporting to funders is hard

You are asked to demonstrate reach and demand, and your phone produces no data at all.

Every call logged and summarised, which turns demand into evidence.
Watch one get saved

8:10pm during an appeal. Both calls are handled.

This is the call that used to ring out. Here it is answered by a VOCPhone AI phone agent, from what you told it about your organisation.

It sounds like it is from here. Genuine Australian accents, warm and unhurried, not a call centre.
It knows your programs and process. What you do, who is eligible, how to donate and how to get help.
It takes donations properly. Amount, frequency and receipting details, so intent turns into income.
It escalates anyone vulnerable. Immediately, to a person, without attempting to handle it.

AgentGood evening, you have called Riverbend Community Services. How can I help?
DonorI saw your appeal on the news tonight and I would like to donate.
AgentThank you, that is really appreciated. Would you like to make a one off donation or set up a regular monthly gift?
DonorOne off for now. Fifty dollars.
AgentThank you. I can text you a secure donation link right now, or take your details for our team in the morning. Which would you prefer?
DonorThe link is easier. It is Susan Achebe.
AgentThank you Susan. I have texted the secure link, and a tax deductible receipt will be emailed automatically once it is completed.
What happened during the appeal
  • Donor answered at the moment of intent, not the next morning
  • Donation amount and preference captured properly
  • Secure donation link texted so the intent converted immediately
  • Donor details and transcript logged for stewardship
The number nobody tracks

Administration ratios are why nobody answers, and why donations are lost

Your funders judge you on how little you spend on overheads, which is exactly why you cannot staff a phone. The consequence is that donors and clients both go unanswered.

1A donor who cannot get through gives elsewhere. Somebody moved to donate is at a peak of intent. A ringing phone lets that pass.
2Clients may have no other channel. For many of the people you serve, a phone call is the only way they can reach help.
3You cannot spend your way out of it. Adding administrative staff worsens the ratio your funders scrutinise, so the phone stays unstaffed.
One number, sorted by need

A donor and a client should never share a queue

Publish one number. Behind it, donations are taken, clients reach the service they need, and anyone vulnerable always reaches a person.

Demand peaks

Appeals and end of financial year create call floods

Not for profit call volume spikes around appeals, media coverage and the end of financial year giving period. The spikes are enormous relative to your staffing and completely unstaffable.

An AI agent answers unlimited simultaneous calls, converts donor intent while it exists, and makes sure clients and vulnerable callers are never left in a queue behind a fundraising campaign.

Your phone should know which supporter is calling

VOCPhone connects to more than a thousand apps and offers open APIs, so a call arrives with a supporter attached to it rather than just a number.

Screen pops before you say hello

The caller's name, their history and their open record appear as it rings, so you open with their name instead of asking who is calling.

Click to call from the record

Ring a supporter straight from your CRM or donor system without typing a number, and every call logs itself against the right file.

Notes that write themselves

Recording, transcript, AI summary and next action land in your CRM. Untimed HD video for up to 30 people is included when a call needs faces.

Why VOCPhone

One provider, one network, one bill

Most providers sell you a phone system that runs on infrastructure they rent. We built ours, which changes what we can promise.

We own the network

Not a reseller reselling somebody else's switch. VOCPhone owns and operates its own Australian network, which is why we can guarantee 99.99% uptime and fix things ourselves.

Desk, desktop and pocket

Apps for Windows, Mac, iOS and Android, plus certified desk and cordless handsets. Untimed HD video for up to 30 people comes with it.

Australian, and answerable

Straight answers

The questions not for profits ask us first

Is this appropriate for vulnerable callers?

Only with the boundaries set correctly, which is how we configure it. The agent does not attempt to support, assess or counsel anybody. It recognises that a caller needs a person and escalates immediately, which is faster than a voicemail and a callback.

For crisis situations it is scripted to direct callers to the appropriate emergency or crisis service, and to your own on call arrangements. You define all of it.

Can it take donations?

It can capture the donation intent, the amount and the frequency, and send a secure link so the supporter completes it while they still want to. That timing matters enormously during an appeal.

It can also capture details for your team to process, and it always logs the supporter so nothing is lost.

Will this hurt our administration ratio?

It usually improves the picture, because the alternative is either an unanswered phone or a salary. Plans start at a single user, so the cost is a fraction of an administrative hire.

It also produces call data you can report to funders as evidence of demand, which most organisations currently cannot produce at all.

What happens when the AI cannot help?

It hands over, and you decide where. Anyone in distress, any safeguarding concern and any complaint can go to a person, a queue, or a manager's mobile.

The caller does not repeat themselves either. Whoever picks up gets the context the agent already gathered. Outside hours it takes the details, texts a confirmation and queues the callback.

What difference does owning the network actually make?

Most providers resell somebody else's switch, which means when something breaks they raise a ticket with a wholesaler and wait, exactly like you would. VOCPhone built and runs its own Australian network, so we fix it ourselves.

It is also why we can put a number on uptime and offer a price match. There is no reseller margin stacked in the middle of your bill.

How does the price-match guarantee work?

If you find comparable Australian business voice for less, we will match it. The terms are on our price guarantee page and we would rather you read them than take a slogan on trust.

We can do it because we are not paying a wholesaler for the underlying network.

Do we have to change our phone number?

No. Number portability is standard, including 1300 and 1800, so the number on your appeal materials, your website and your directory listings stays exactly as it is.

We port it across and plan the cutover around your hours, not ours.
