VOCPhone for Legal

The most valuable call your firm receives goes to voicemail.

A new matter enquiry is worth many thousands of dollars and arrives from somebody in the middle of the worst week of their life. They will not leave a message and they will not ring twice.

Said out loud in every firm

You have said at least four of these this month

These are client intake and billable time problems that arrive down a phone line.

01

Nobody is free when the important call comes

Solicitors are in conferences, in court or on the phone. Reception is one person. The new matter enquiry hears a ringing tone.

The agent answers every call on the first ring and conducts a proper intake.
02

Intake is inconsistent when it happens at all

Different people take different details. Some matters arrive fully scoped, others as a name and a number.

The same complete intake, every time, from questions you designed.
03

Conflict checks happen too late

You find out about a conflict after somebody has already discussed the matter, which is a problem.

The agent collects the parties' names first, so a check can happen before anything substantive.
04

Status calls consume chargeable people

"Any news on my matter" reaches a solicitor because nobody else can answer it.

Handled by the agent, or pushed out proactively so clients stop needing to ring.
05

Court and after hours calls have no cover

A client arrested on a Saturday, or a matter listed on Monday, finds a firm that has gone home.

The agent covers every hour and escalates genuinely urgent matters.
06

Nothing said on the phone is on the file

Instructions taken verbally then reconstructed from memory is a professional risk you carry daily.

Recording, transcript and summary filed against the matter automatically.

8:05pm. The firm has closed. The matter is secured.

This is the call that used to reach voicemail. Here it is answered by a VOCPhone AI phone agent, from what you told it about your firm.

It sounds like it is from here. Genuine Australian accents, calm and professional, not a call centre.
It knows your firm, not the law. Practice areas, fee structures, your intake process and who takes what. It does not give legal advice, by design.
It runs a complete intake. Every time, in the same order, including the details you need for a conflict check.
It books the consultation. Which is what converts a distressed caller into a client.

AgentGood evening, you have called Harrington Legal. The office has closed, but I can take your enquiry properly. What is it in relation to?
CallerMy partner and I have separated and I do not know where to start. There are two children.
AgentI am sorry, that is a difficult situation. We do act in family law matters. Before we go further, can I take your full name and your former partner's full name, so we can check we are able to act?
CallerI am Sandra Whitlock and my partner is Mark Whitlock.
AgentThank you. I will not discuss the details tonight, but I can book your initial consultation. Wednesday at 10am or Thursday at 2pm, and the first consultation is a fixed fee of three hundred and thirty dollars.
CallerWednesday morning, please.
AgentBooked, Sandra, Wednesday at 10am. I have texted the confirmation, the fixed fee and what to bring. A solicitor will confirm we can act before the appointment.
What happened after the firm closed
  • New matter intake completed, in a practice area you service
  • Both parties' names captured so a conflict check can run first
  • Fixed fee consultation booked and disclosed on the call

The number nobody tracks

One missed new matter costs more than a year of phone system

Firms track billable hours and realisation rates carefully. Almost nobody tracks the new matter enquiries that rang out, which is the most expensive number in the practice.

1Legal enquiries are urgent and emotional. Somebody facing a separation, a charge or a dispute rings until a human answers. They do not wait for a callback.
2They ring several firms in one afternoon. Whoever answers gets the consultation, and whoever gets the consultation usually gets the matter.
3Status chasing burns senior time. "Any update on my matter" is the most common call in most firms and the least appropriate use of a solicitor.

Change the two highlighted lines to your own figures. The arithmetic is the point, not our example. Discount every assumption heavily and it is still the biggest leak in the firm.
One number, sorted properly

A new matter should never queue behind a status question

Publish one number. Behind it, new matter enquiries get a full intake, existing clients get updates without touching a solicitor, and accounts has its own queue.

Demand peaks

Legal enquiries do not arrive during office hours

Matters begin when something goes wrong, and things go wrong on weekends, at night and in the weeks after Christmas. Your intake capacity is lowest exactly when enquiries peak.

An AI agent covers all of it. Every enquiry gets a complete intake and a booked consultation, at any hour, which is the difference between your firm getting the matter and the firm down the road getting it.

Your phone should know which matter is calling

VOCPhone connects to more than a thousand apps and offers open APIs, so a call arrives with a client attached to it rather than just a number.

Screen pops before you say hello

The caller's name, their history and their open matter appear as it rings, so you open with their name instead of asking who is calling.

Click to call from the record

Ring a client straight from your practice management system without typing a number, and every call logs itself against the right file.

Notes that write themselves

Recording, transcript, AI summary and next action land in your CRM. Untimed HD video for up to 30 people is included when a call needs faces.

Why VOCPhone

One provider, one network, one bill

Most providers sell you a phone system that runs on infrastructure they rent. We built ours, which changes what we can promise.

We own the network

Not a reseller reselling somebody else's switch. VOCPhone owns and operates its own Australian network, which is why we can guarantee 99.99% uptime and fix things ourselves.

AI phone agents that sound Australian

Inbound and outbound agents trained on your business. They answer, qualify, book and escalate, in a genuine Australian accent, at any hour.

Desk, desktop and pocket

Apps for Windows, Mac, iOS and Android, plus certified desk and cordless handsets. Untimed HD video for up to 30 people comes with it.

Australian, and answerable

Australian owned, Australian hosted, 24/7 human support, 15+ years in this market, and a price-match guarantee if you find better.

Straight answers

The questions firms ask us first

Will the AI give legal advice?

No, and it is configured explicitly not to. It is scripted to say so plainly if asked. Its job is intake: which practice area, the parties involved, the urgency, and booking the consultation.

It will not discuss the merits of a matter, and anything requiring judgement goes to a solicitor with the intake already complete.

How does this work with conflict checking?

It helps, because it can be scripted to collect the names of all relevant parties before any substantive discussion, which is earlier than most human intake manages.

That lands in your system so a check can run before the consultation. It does not clear conflicts itself. It makes sure you have what you need to.

What about privilege and confidentiality?

VOCPhone owns and runs its own Australian network, so calls, recordings and transcripts stay onshore rather than being processed offshore by a third party. For a law firm that is a genuine differentiator.

You control recording, retention and access. We would strongly suggest configuring those to match your own professional obligations.

What happens when the AI cannot help?

It hands over, and you decide where. Anything about the merits of a matter, and any urgent or custody situation can go to a person, a queue, or a manager's mobile.

The caller does not repeat themselves either. Whoever picks up gets the context the agent already gathered. Outside hours it takes the details, texts a confirmation and queues the callback.

What difference does owning the network actually make?

Most providers resell somebody else's switch, which means when something breaks they raise a ticket with a wholesaler and wait, exactly like you would. VOCPhone built and runs its own Australian network, so we fix it ourselves.

It is also why we can put a number on uptime and offer a price match. There is no reseller margin stacked in the middle of your bill.

Do we have to change our phone number?

No. Number portability is standard, including 1300 and 1800, so the number on your letterhead, your costs agreements and years of directory listings stays exactly as it is.

We port it across and plan the cutover around your hours, not ours.

What happens if the internet drops?

Calls keep flowing. The mobile app works over 4G and 5G, so your people answer on their handsets while a site connection is down, and flows can divert to mobiles automatically.

We also supply NBN, so the connection and the phone system can come from one provider on one bill. When it is all ours, there is nobody to point at.
