VOCPhone for Printing

Half your calls are "is it ready yet". The other half are actually worth money.

A print business runs on deadlines customers care about intensely. So they ring. About artwork, about proofs, about stock, and above all about whether the job is ready, while your operators are keeping a press running.

Said out loud on every print floor

You have said at least four of these this month

These are what happens when your customers care about a deadline more than anything else in their week.

01

"Is it ready yet" is most of your volume

The same question from the same customers, several times per job. The least valuable call in the building and the most common.

Answered instantly from job status, or pushed out by SMS before they ring.
02

Presses cannot be interrupted

A make ready that stops halfway is wasted stock and wasted time. Answering on the floor is genuinely expensive.

Most calls never reach the floor at all.
03

Artwork queries need the right person

A bleed question, a colour question and a stock question go to different people, and reception cannot tell them apart.

The agent triages and routes to prepress, production or sales.
04

Rush work is your best margin and easiest to lose

Premium priced urgent jobs are exactly the ones that go to whoever answers on the first ring.

Rush enquiries answered 24/7 and flagged as priority.
05

Trade and retail customers need different handling

A reseller who knows exactly what they want and a walk in who does not should not get the same conversation.

Separate queues and greetings for trade and retail.
06

Reorders never get asked for

You know who reorders business cards every eight months. Nobody has time to ring them.

Outbound AI agents can make reorder calls and take the order.
Watch one get saved

6:15pm. The press has stopped. The rush job has not.

This is the call that used to ring out. Here it is answered by a VOCPhone AI phone agent, from what you told it about your business.

It sounds like it is from here. Genuine Australian accents, not a call centre and not a robot reading a script.
It knows your products and lead times. What you print, on what stock, how fast, and what a rush actually costs.
It answers job status without a human. Which removes the most common call in your business.
It gets artwork to the right desk. Prepress questions reach prepress, not a sales counter.

AgentGood evening, thanks for calling. The floor has finished for the day, but I can get this moving. What do you need printed?
CallerPull up banners for a trade show. Two of them, and the show is Saturday.
AgentThat is a rush, but doable. Do you have print ready artwork, or does it need setting up?
CallerI have a PDF, but I am not sure about the bleed.
AgentNo problem. Send it to the address I am about to text you and prepress will check it first thing and come back before ten. For two banners on a Saturday deadline there is a rush loading, which I will include.
CallerThat works. It is Sam at Northline.
AgentThanks Sam. I have texted you the upload link, the quote including the rush, and the cut off to hit Saturday.
What happened after the floor shut down
  • Rush order captured with the real deadline attached
  • Artwork upload link sent, prepress queued to check it
  • Rush loading quoted and accepted before anyone came in
  • Order and transcript in your job system overnight
The number nobody tracks

Rush jobs go to whoever picks up first

Print has the shortest decision window of almost any trade. Somebody who needs signage by Friday is not leaving a voicemail on Wednesday, they are ringing until someone answers.

1Urgent print is bought in minutes. The customer with an event on Saturday will pay a premium and will not wait for a callback.
2Status chasing crowds out selling. Your line is clogged with people asking about jobs already sold, so new jobs cannot get through.
3Artwork questions block production. A job sitting in prepress waiting on one answer is a press slot you cannot fill.
One number, sorted by call type

Status chasing should never block a new order

Publish one number. Behind it, job status is answered without a human, artwork queries reach prepress, and new orders reach someone who can sell.

Print demand is a series of other people's deadlines

Your volume is driven by everyone else's calendar. Conference season, end of financial year, the run into Christmas. It arrives in walls, and the walls land when your presses are already committed.

An AI agent absorbs the wall. It answers, quotes rush work at the right loading, removes the status calls, and keeps your best margin jobs from going to whoever happened to be free.

Your phone should know which job is calling

VOCPhone connects to more than a thousand apps and offers open APIs, so a call arrives with a customer attached to it rather than just a number.

Screen pops before you say hello

The caller's name, their history and their open job appear as it rings, so you open with their name instead of asking who is calling.

Click to call from the record

Ring a customer straight from your print job system without typing a number, and every call logs itself against the right file.

Notes that write themselves

Recording, transcript, AI summary and next action land in your CRM. Untimed HD video for up to 30 people is included when a call needs faces.

Why VOCPhone

One provider, one network, one bill

Most providers sell you a phone system that runs on infrastructure they rent. We built ours, which changes what we can promise.

Straight answers

The questions print businesses ask us first

Can it really answer job status questions?

Where your job system can share status through an integration or an API, yes, and it is transformative because that is your highest volume call. It can tell a customer their job is on press, in finishing, or ready for collection, without anyone leaving the floor.

Even without a live connection it confirms the job number and gets a definite answer back, which still beats a ringing phone.

Can it price a rush job?

It applies your rules. If a Saturday deadline on a two day product carries a loading, it quotes it that way every time, including the artwork cut off needed to hit the date.

Anything genuinely unusual gets captured and flagged, so you quote from a complete brief rather than a missed call.

What happens when the AI cannot help?

It hands over, and you decide where. Reprints, quality complaints and anything about a delivered job can go to a person, a queue, or a manager's mobile.

The caller does not repeat themselves either. Whoever picks up gets the context the agent already gathered. Outside hours it takes the details, texts a confirmation and queues the callback.

What difference does owning the network actually make?

Most providers resell somebody else's switch, which means when something breaks they raise a ticket with a wholesaler and wait, exactly like you would. VOCPhone built and runs its own Australian network, so we fix it ourselves.

It is also why we can put a number on uptime and offer a price match. There is no reseller margin stacked in the middle of your bill.

How does the price-match guarantee work?

If you find comparable Australian business voice for less, we will match it. The terms are on our price guarantee page and we would rather you read them than take a slogan on trust.

We can do it because we are not paying a wholesaler for the underlying network.

Do we have to change our phone number?

No. Number portability is standard, including 1300 and 1800, so the number on your quotes, your invoices and years of local listings stays exactly as it is.

We port it across and plan the cutover around your hours, not ours.

What happens if the internet drops?

Calls keep flowing. The mobile app works over 4G and 5G, so your people answer on their handsets while a site connection is down, and flows can divert to mobiles automatically.

We also supply NBN, so the connection and the phone system can come from one provider on one bill. When it is all ours, there is nobody to point at.
