VOCPhone for Hospitality

Peak trade triples the calls. It has never once tripled the staff.

Hospitality runs on a roster set to the trade you expect and stretched by the trade you get. The phone is the first thing dropped when a service gets busy, and the phone is carrying your bookings.

Said out loud in every venue

You have said at least four of these this month

These are labour cost problems that arrive down a phone line.

01

Rostering for peak is unaffordable

Staffing for your busiest possible night would ruin your margin. So the phone is what gives.

Phone capacity that scales without a single extra hour of labour.
02

Guests in the venue rightly win

You cannot ask a staff member to abandon a table to answer a phone. Nor should you.

Nobody has to choose, because the agent answers everything.
03

Function enquiries need real information

Numbers, dates, spaces, minimum spends, dietaries and deposits. Rushed, they fall through or go wrong.

The full checklist run every time and confirmed in writing.
04

Casual staff churn constantly

You cannot train a phone system into a workforce that turns over every season.

Nothing to train. The agent answers before a casual has to.
05

No shows cost you the whole cover

Confirming bookings is a job nobody has time for, so no shows stay high.

Outbound AI agents can confirm every booking the day before.
06

Multi venue makes it worse

Two or three venues and calls land at the wrong one, with no ability to cover for each other.

One number, routed per venue, with overflow between them.
Watch one get saved

7:05pm at full capacity. The function is still quoted.

This is the call that used to ring out mid service. Here it is answered by a VOCPhone AI phone agent, from what you told it about your venues.

It sounds like it is from here. Genuine Australian accents, warm and unhurried, not a call centre.
It knows your venues and rules. Spaces, capacities, sittings, minimum spends, packages and deposits.
It works across all your venues. One number, and it knows which venue suits the enquiry.
It confirms bookings for you. Which attacks no shows, the other half of the covers problem.

AgentGood evening, thanks for calling. How can I help?
OrganiserI am organising a work function for about forty five people in early December.
AgentForty five in December is very doable. Our Fitzroy venue has a function room that seats fifty, and Carlton has a semi private area for forty. Which suburb suits your group?
OrganiserFitzroy would be better for us.
AgentThe Fitzroy function room is available on a few December dates. For a group that size on a Friday the minimum spend is three thousand five hundred, with a set menu from fifty five dollars a head.
OrganiserThat is workable. It is Grace Adeyemi.
AgentThanks Grace. I have texted the available December dates, the package options and the minimum spend, and flagged it for our functions manager.
What happened at full capacity
  • Function enquiry answered rather than ringing out mid service
  • Right venue matched to the group size and preferred suburb
  • Minimum spend and package options quoted consistently
  • Available dates texted and the functions manager briefed
The number nobody tracks

Your roster cannot flex, but your phone has to

Labour is your largest controllable cost, which means your roster is always set slightly below what a busy night needs. The phone absorbs that gap, and the phone is where your bookings live.

1You cannot roster for a spike. Staffing for the busiest possible night would destroy your margin, so every busy night is understaffed by design.
2The phone is the first thing dropped. When it gets busy, guests in front of you win, correctly. The phone simply stops being answered.
3Bookings and functions arrive by phone. The two highest value contact types are the ones your busiest nights cannot handle.
One number, every venue

Stop asking guests to work out which venue to ring

Publish one number. Behind it, bookings route by venue, functions reach whoever quotes them, and busy venues overflow to quieter ones instead of ringing out.

Trading peaks

December is decided in October and answered by nobody

Hospitality demand spikes into the Christmas function season, exactly when your venues are fullest and your rostered team is most stretched.

An AI agent gives you phone capacity that does not appear on a roster. Every booking taken, every function quoted, and confirmations made the day before so your covers actually turn up.

Your phone should know which venue is wanted

VOCPhone connects to more than a thousand apps and offers open APIs, so a call arrives with a guest attached to it rather than just a number.

Why VOCPhone

One provider, one network, one bill

Most providers sell you a phone system that runs on infrastructure they rent. We built ours, which changes what we can promise.

We own the network

Not a reseller reselling somebody else's switch. VOCPhone owns and operates its own Australian network, which is why we can guarantee 99.99% uptime and fix things ourselves.

AI phone agents that sound Australian

Inbound and outbound agents trained on your business. They answer, qualify, book and escalate, in a genuine Australian accent, at any hour.

Desk, desktop and pocket

Apps for Windows, Mac, iOS and Android, plus certified desk and cordless handsets. Untimed HD video for up to 30 people comes with it.

Australian, and answerable

Australian owned, Australian hosted, 24/7 human support, 15+ years in this market, and a price-match guarantee if you find better.

Straight answers

The questions venue operators ask us first

Can one number serve several venues?

Yes, and it is usually the fastest improvement. You advertise one number and it works out which venue suits the enquiry, by suburb, by group size or by what the guest asks for.

Each venue can still keep its own direct number and greeting, and busy venues can overflow to quieter ones.

Does it reduce no shows?

It attacks them directly. Outbound AI agents can call or text every booking the day before, which is the job that never gets done when a venue is busy.

For most operators, cutting no shows is worth more than the additional bookings.

Will your casual staff be able to use it?

Yes, because it looks like the apps they already use. Calls, transfers, messages and chat sit in one VOCPhone app on desktop or mobile, and the desk handsets behave like desk phones.

Anything clever, like who a call reaches at 4pm on a Sunday, is set centrally by you. New starters just answer.

What happens when the AI cannot help?

It hands over, and you decide where. Complaints, incidents and anything about a bill can go to a person, a queue, or a manager's mobile.

The caller does not repeat themselves either. Whoever picks up gets the context the agent already gathered. Outside hours it takes the details, texts a confirmation and queues the callback.

What difference does owning the network actually make?

Most providers resell somebody else's switch, which means when something breaks they raise a ticket with a wholesaler and wait, exactly like you would. VOCPhone built and runs its own Australian network, so we fix it ourselves.

It is also why we can put a number on uptime and offer a price match. There is no reseller margin stacked in the middle of your bill.

We run more than one venue. Does that work?

That is where it earns its keep. Advertise one number and we route behind it by venue, by time of day and by queue, with overflow so a call at a flat out venue rings somewhere quieter.

Each venue can keep its own greeting and direct number. Reporting rolls up across all of them.

Do we have to change our phone number?

No. Number portability is standard, including 1300 and 1800, so the number on every venue number, your menus and your listings stays exactly as it is.

We port it across and plan the cutover around your hours, not ours.
